Taking DR3 assessments out of spreadsheets
Assessments lived in Google Sheets and were turned into PDFs by hand. I rebuilt the process on Salesforce in about 30 hours.
- My role
- Principal Technical Account Manager
- Organisation
- Own from Salesforce
- When
- October โ November 2024
- Result
- Reports in days, not two weeks
What was going on
DR3 assessments depended on manual data entry into Google Sheets and Docs, which were later converted into PDF reports for customers. It was slow, error-prone and made it hard for leaders to see trends across assessments.
I proposed bringing the whole process into Salesforce, where we already worked.
What I set out to do
Design a Salesforce-based solution to record DR3 maturity scores, evidence and remediation plans for each control. It also had to give leaders dynamic reporting, cut the time to produce reports, be accurate and easy for TAMs to use, and scale for future assessment services.
What I did
I built it entirely inside Salesforce, using standard features to keep cost and complexity down.
- Created two custom objects, Maturity Scoring Control and Canned Assessment Response, in a master-detail relationship with the existing Assessment object
- Built flows with pre-save and post-save triggers that calculate and roll up maturity scores
- Embedded a screen flow, the Canned Assessment Recommendation Tool, that gives tailored recommendations from assessment data
- Redesigned the Lightning page layouts for a better user experience
- Developed reports and dashboards that track maturity trends and benchmark customers against industry standards
What changed
The project took only 30 hours of development and no additional managed-application costs.
- Report lead time dropped from two weeks to a few days, by removing duplicate data entry
- Capacity for DR3 engagements grew by 50โ60%
- Leaders gained dashboards and trend analysis
- Scoring became consistent and more accurate
- A scalable foundation was in place for future assessment services
The headline
From two weeks to a few days for a report, and room for 50โ60% more engagements, for about 30 hours of work.
Doing it responsibly
Customer data stays inside Salesforce with access limited by role hierarchy. Validation rules and audit trails protect data integrity and accountability.
